How to export your call log (RingCentral, CallRail, Quo, Dialpad, Vonage, 8x8, Grasshopper)
Step-by-step export paths for the phone systems plumbing and HVAC shops use most, and what to check before you analyse missed calls.
You can't fix missed calls you can't count. Most business phone systems let an admin download a call log as a CSV file. This guide lists where the export lives in the systems we see most often in plumbing and HVAC shops, and what to check so the numbers mean something.
Menus change. Each path below links to the vendor's own help page, checked on the date at the top of this guide. If a menu has moved, the vendor page is the reference.
Before you export
- Pick a long enough period. 30 days is the minimum to see a pattern; 90 days is better, because it lets you tell a new caller from a returning customer.
- Export both directions. Incoming calls show what you missed. Outgoing calls show whether, and how fast, someone called back. Without outgoing calls, nobody can measure callback time.
- Note your time zone. Several systems export local times without saying which zone. Our audit tool asks for it.
- Remove nothing yet. Spam, hang-ups and robocalls are easier to exclude with rules than by hand, and you keep an audit trail of what was excluded.
RingCentral
An admin opens the Admin Portal, then Analytics & Logs, then Call Log, picks the date range and downloads the file. The simple view gives one row per call with columns such as Type, From, To, Date/Time, Action, Result and Length. The detailed view adds one row per call leg, which is useful for transfers but means the same call appears several times. See RingCentral's call log help.
CallRail
In CallRail, open the Call Log, adjust the visible columns, then export. CallRail separates calls that were abandoned in the first seconds from calls that rang through without an answer, and flags first-time callers, which makes it one of the easiest logs to audit. See CallRail's export guide.
Quo (formerly OpenPhone)
Quo offers two routes: a full history export from the workspace settings, emailed as a CSV, and an export from the Analytics view after filtering. Quo splits missed calls into abandoned and unanswered. See Quo's export documentation.
Dialpad
Admins open Analytics, choose the office or user and the date range, then export the call logs; the file arrives by email. Durations are expressed in minutes with decimals, which a spreadsheet will happily misread as seconds. See Dialpad's guide to exported analytics.
Vonage Business
In the Admin Portal, open Reports and choose All Calls, then download the CSV. Rows are call segments, so a forwarded call can appear more than once; the Call ID column ties them together. See Vonage's All Calls report.
8x8
8x8 Work Analytics has a call detail record report you can export, with separate columns for missed, abandoned and answered calls. 8x8 also ships a built-in Unreturned Calls report, which answers part of the question directly. See 8x8's unreturned calls report.
Grasshopper
Grasshopper's reports are run from the admin portal and downloaded as CSV; reports are kept for a limited time, so download them as soon as they are generated. Forwarded calls can produce several rows. See Grasshopper's detail report overview.
Field-service software
ServiceTitan and Housecall Pro can export call reports too. Be careful with labels: ServiceTitan's "abandoned" category also covers some calls that were answered but never logged by the CSR, so it can overstate true misses. Jobber does not keep its own call log; export from the phone system connected to it instead.
What to look at first
Open the file and check three things before drawing conclusions: the first and last dates (is the period complete?), whether outgoing calls are present, and whether the same call appears on several rows. Then count, for each number that called and did not get through, how long it took until someone called back. That last number is the one that matters: a missed call returned in five minutes is usually a saved job, one returned the next day often is not.
Our free missed-call audit does those steps in your browser, without uploading the file, and shows which rows it excluded and why.
